alright so he just replied and this is what he had to say.

Normally, its $75 per room and the $3 per person and then the $15 for the arcade floor (if you are using it). It sounds like you would have a good number of people so I can definitely work you a better deal on the price though.

Unfortunately, there is some lag on our 42" LCD TVs. We are looking into upgrading, but not sure when that will happen. I honestly haven’t tested to see the exact m.sec of lag. yet, but I will very soon

I’m open to coming up with a different pricing structure for this. I’m not 100% sure what a good plan for it is, but I’m sure we can work something out. How many people would you expect to come? How much about are the prize pots? What time would you be looking at starting the event? Last weekend we stayed open for 24hours for the VGEvo charity event (which was a lot of fun) would you want any extended hours? Usually we are open 11AM - 2AM already on Saturdays. Again I’m sure we can come up with something price wise that will work.
**If there are some specific arcade games you wanted run tournaments on we can bring them into the private gaming rooms as well for the day.

So what do you all think about this? He seems to be quite flexible about catering to our needs, but on the other hand, like humbag said, perhaps its not enough space? it would be 40x20 sq ft. Honestly its difficult for me to picture how big that is exactly in my head. Can someone that has been at GGA’s rentable rooms before confirm if this overall space would be larger or smaller compared to what we were using in the past at Frosty Faustings? We certainly DONT want LESS space than last year, since I would anticipate this year having even MORE people, espesially with SSFIV being out now (remember that last year was just vanilla).
The only other thing about this is, as I mentioned, the previous years I charged everyone 10 bucks for venue fee which is pretty standard for a major. Only in the case of the previous years, it was more than enough to cover the venue cost, so the extra was put into the bonus pot. If we went with GGA there would be no pot bonus from that, it would all go to him. Also, he still seems to want the 150 bucks for the 2 rooms which would be separate, and that means I would be forced to pay out of pocket unless I somehow got everyone to pool in and cover it.
I also still like the idea of having our own ball room / banquet hall because we call all the shots and once venue fee is covered for them, the leftover money would go right back to the tournament winners.
So, I would really like to hear about what results come up from Domingo’s ballroom source. If this falls through though, what do you all think about having it at GGA? Please provide your input. I dont want to just call all the shots because I am doing this for the community as well, so all of your input is certainly valid and noted. Thanks
EDIT: so after just now busting out my 12 foot tape measure and doing some eye ball estimations, it seems to me like at MOST we would be able to get 18 setups in there, but since a setup will most likely take about 4 feet off from each walls perimater going towards the center, the overall space in the center would be reduced to basically about 32 feet by 12 feet for all the specators to sit between. Also, the 18 setup estimate is without taking into account space for the tournament organizers table where registration and bracket management would take place. SO… I dunno… it seems like perhaps it would be too small for a tournament that will be drawing over 100 people.
Once again, please let me know what you think. I could be wrong. Ive never been there and I am just making estimates off of little information.
