That is correct, Getting the contract today to go over everything. Good news is the room nights are only required Friday/Saturday, if anyone happens to come thursday night or stay sunday night as well, those nights will actually count towards the 250 room nights.

I almost did last night with my TV, but I wanted to do more research first, so I haven’t actually ordered one yet. Here are what I’ve been recommended so far:

what i meant was if he got 125 people there and that was it, the hotel would charge him the 10000 since he didnt meet quota or he could just buy the rest of the rooms for 10000. But if say 200 people were there they would still charge him 10000 or he could just buy the last 50 rooms for 4000 dollars and still make 6000. So really 125 is the magic number for him to be reaching for him to start making his money back. In a situation like this you have to assume youve already lost the 10000 dollars. Which hopefully is a loan and not out of pocket. out of pocket is a huge no no that any entrepreneur will tell you.
Im not sure if Im understanding you correctly. The number of persons isn’t that relevant. The number of room nights these persons book is what’s relevant. Your projected estimate, while mathematically correct, is completely unrealistic. Those 125 persons would have to book rooms for weekend for themselves alone in order to fulfill the quota. You’d need more around hmm… 500ish (avg of 4 persons per room)
Also, I would imagine that renting the rooms is not the equivalent of paying the fee and does not contribute to the cost. Buying the rooms would cost almost $20,000. The fee incurred for not fulfilling said quota does not contribute to that. If 249 room nights were booked, then there would still be a $10,000 fee per the contract (although obviously, he could just rent the room himself to avoid that). If he booked 125 room nights and tried to sell them to people, there is still the other 125 room nights to be fulfilled as well as selling off the 125 that he has in possession before he could start making a profit off of that particular venture. The only profit made in almost any scenario would be for the hotel, which is why it was written that way.
You can all do your part by a) booking a room for two nights, and b) having no more than say… 3 to a room. That’ll bring down the avg persons per room == fewer people have to attend in order for the quota to be fulfilled.
Alex: I’d imagine you’ve got venue fees in the ranges of $30-50. Offering a lower venue fee as an incentive to rent rooms with only 2-3 persons in the room might be a good idea (considering the bulk of the venue fees would go towards fulfilling the room quota) Tournaments with super high venue fees are a huge turnoff as is 
The way It’s looking I’ll be doing a 25 dollar early bird venue fee for the weekend, then 30 up until the deadline, then a 40 dollar emergency registration on friday. I think that’s a good price I"m doing my best to keep it at 30 and include well designed lanyards and maybe even a ceo tshirt depending on the cost for them to be made.
