From the first (second) post I see that we’re not allowed to bring in outside food or drink, but… what about water? I’m totally stoked that the hotel is providing concessions for us but $2.00 is a bit sharp for soda, so I might rather bring a water bottle. Also there may be people that can’t drink soda or sugary beverage… =/
Regarding food, we have any sort of “off-limits” for food + drink around units and controllers? I don’t know that it would be absolutely necessary but it would be a damn shame if someone’s generously loaned stick or, worse, console or TV got ruined by a spilled beverage or disgusting unwashed hands. I totally volunteer to walk around with (my own provided!) Wet-Wipes for people who munch on Cheetos or greasy foods.
Lastly, any possible way to do pre-orders on T-shirts? It might help you (and us!) to have a list of people who for sure want 'em, but this is of course your call. If you do go with a list, I’m signing up!
People say that the concession prices are outrageous, when really they (the people that run it) know that people doing an event there are either entirely too busy to get something else or entirely too lazy. I think both apply here. Your best bet is eating before or after whatever game(s) you’re in. Up and saying, “yo, hold my match for a bit, I’m really hungry and I’m getting some McD’s” will likely get you McDisqualified. So do the smart, and likely more “affordable” thing and eat somewhere beforehand or eat food in your room that you bought elsewhere.
[edit] As far as drinks and gunk on equipment goes, it’s possible at every tournament but rarely happens. Just be careful and remember that there are other people here also trying to have a good time without having someone ruin their hard earned equipment. If you want to walk around with wet-wipes, more power to you, but I doubt that will be necessary. Most of these people have been to tournaments and rarely does anything like that happen.
Gandara - If you’d like to walk around and make sure people are not setting opened sodas next to equipment, thats cool with me. The reason we are getting 20oz and not cans is because I want people to put the cap back on when they are not drinking. I think the alcohol from the bar is the only worry.
As far as water goes, im sure they will have 20oz bottled waters, and im sure you can discretely refill them at the drinking fountain after you buy your first one.
Okay, sounds cool. I mean, I’m gonna be entering tournaments and enjoying the festivities so I don’t think I’d be “policing” the beverages much at all, but I’ll keep my eye out. I think as long as we aren’t putting uncovered drinks on the tables or desks that have consoles + TV’s on 'em there shouldn’t be a problem.
Im not sure its reasonable for me to take t-shirt pre-orders, as i have no way of taking early payment. What I’m going to do is just order a bulk amount, and they will be first come first serve at the event. We might limit one per guest until we see how many are left over toward the end of day 1.
I’m really considering making an animated .gif out of this to advertise MWC, but I’ve never done it before. Oh well, it’ll be a learning experience!
Edit: Finally! After tons of trial and error I crafted my first animated .gif! Hope you all like it - it’s by no means “official” but I think it’ll work for me. And damn it if I didn’t try to get the MWC date in there, but it was just barely too much for the non-premium file size. sigh

Umm… what about the PS3 MadCatz Fightpads? They’re wireless, but use a dongle (not a cord) rather than Bluetooth and can be disconnected by simply unplugging it from the unit, AFAIK.
I only ask because I would most likely be purchasing a PS3 Fightpad explicitly for this tournament as I don’t own a PS3… and while I’m sure I’ll get one down the line I don’t want to spend $40 and be unable to use my controller at this event. =(
Also (sorry for so many questions…), how will game distribution for casual + tournament rigs go? I plan on bringing my 360, orig Xbox and PS2 for either tourney or casual use, and I’ve got a lot of fighting games I can bring along, but I’d be a tad concerned about leaving a binder with 30 games in it laying around. Not that I don’t trust people coming to this event, but it’d be a lot easier for someone to pocket a CD binder than a console. Should I just keep the games on me and loan 'em out as requested? Could I leave the CD binder at the Judge’s booth and let you guys distribute / loan? Of course the latter would incur “responsibility” on the judges which would be unreasonable IMO - you’re all there to have fun too, not to babysit gear - but… ahh, I just don’t know!
Or another idea… if it wouldn’t be too much trouble. Perhaps I can leave a list of the games I have at the judge’s booth with my name and simply wear a name tag (cheesy, I know). That way, I can walk around with the games on my person (my responsibility) and if someone wants to play a casual or needs a game for a tourney they can seek me out and I can loan 'em out as needed.
Ahh… I’m sorry. I don’t want to be a pest, but this is my first ever official tourney and I’d rather be a help than a hindrance.
Dongle controllers are fine, just not the standard bluetooth wireless.
The amount of casuals vs tournament are going to depend on on A.) the number of TVs we have and B.) the time of day. The move TVs and setups you can bring the better. Earlier in the day, less room for casuals. Later in the day, more room.
Out of your options I like this the best, the only thing we ask is to be SURE not to leave that book of games around, this is a public event at a public hotel and there are even people that may wonder through that have nothing to do with this. Leaving it at the judges table is fine if it’s just for a minute while you tie your shoe or something but we’ll really need our space. You’re more than welcome to bring a back pack which is what I do for my stick, and you can put your games and pad in that instead that way it’s on you always yet you’re not constantly carrying them. If you really want I can keep a list of your games on me, but if I’m not watching tourney matches and helping out Keits than I’m going to be either playing ST, out and around Chicago, playing ST, eating, playing ST, drinking, or playing ST, so I could pass it off if need be
As for your consoles that you’re bringing, like Keits said casuals REALLY depend on us getting enough setups (which are TVs and consoles), if we have an extra TV and 2 consoles, don’t take it personally if we decide to put say a PS3 on there instead of the regular Xbox solely because that will be more accessible to more people to play on, and probably (though don’t quote me) the same for the 360. PS2s are always nice to have though!
Don’t sweat it, it’s always better to ask too many questions than not ask any and get burned during the event.
Agreed, also we need to watch that the controllers actually get turned off. People are good about bringing their cables but I see a lot of the time they accidentally forget to turn it off when they’re done.
This is exactly why non EVO tournaments and even EVO should change from PS3 to XBox. Continuing to use the counter intuitive PS3 as the standard for these tournaments makes less and less sense. I watched so many SF4 stations at EVO waste SO much time last year for no reason. It’s great that EVO already has the PS3s and all, but forcing the PS3 upon people other tournaments seems a bit ridiculous. There are SO many more XBoxes out there with the same data. Think of the extra stations for both tournament and casual play that could be had, not to mention the time that would be saved by not having to change your controller options, resetting or asking for help whenever 2 XBox players are using a PS3 for the first time. Sure, banning wireless entirely works, but it doesn’t need to be an issue at all.
Yup, exactly what Grog said. The judges will be too busy to watch your stuff if you leave it at the judges pit. Take care of your own stuff. Keep it in a backpack or up in your room (which isnt far to run and get it if someone wants to play).
Remember, this is a major, and we are going to have a lot to get through with a lot of participants. Tournaments take priority over casuals at these things, but if you are staying for the full duration, im sure you’ll get plenty in.
BRING SETUPS people! I know the discount isnt much for doing so, but I have a lot to pay for to run this event for you, and if we want it to be smooth, I need everyone’s help. Toss a smaller CRT TV or two into your car (with RCA inputs on it) and lets get this party started!
Doctor - while I agree, we have to run the format Evo runs if we want Qualifying spots (which im trying to get for us!)
